Assignment Details

Mission and Objectives

The WHO Office in the occupied Palestinian territory is the principal technical adviser to the Palestinian Ministry of Health providing advice and support to strengthen health services, ad-dress public health issues and promote research for health. WHO is also lead of the humanitarian Health and Nutrition Cluster, coordinating the assistance provided by international and local partners to the health sector. WHO employs approximately 45 staff at its offices in West Bank and Gaza, including international and local professionals with expertise in medicine, public health nursing and other specialties. As the lead health agency, WHO works with many partners, including United Nations agencies, donors, nongovernmental organizations, universities and the private sector to sup-port the Palestinian Authority to reach their national health development goals and to ensure that efforts of all these organizations are coordinated.

Context

In response to the humanitarian crisis in Gaza, WHO has significantly scaled up its Operational Support and Logistics (OSL) activities, with Jerusalem serving as the central coordination hub. The increasing complexity of UN2720 approvals and Mercury submissions (COGAT platform), combined with stricter documentation requirements and higher rejection rates, has created major bottlenecks for humanitarian partners. This role will support partners and WHO teams to ensure timely and compliant submissions and facilitate the entry of critical medical supplies into Gaza

Task Description

Under the direct supervision of the Operational Support and Logistics (OSL) team lead, the UN Volunteer will undertake the following tasks: A. UN2720 Documentation and Tracking Support - Assist in the preparation and compilation of UN2720 submission packages using standard templates. - Check completeness of documentation against established checklists before submission. - Enter and update data in tracking tools and spreadsheets accurately. - Maintain organized electronic filing systems for all submissions, approvals, and related correspondence. - Monitor the status of submissions and follow up internally on pending documentation. - Support the preparation of routine status updates and reports. B. COGAT Documentation Support - Assist in compiling documentation required for COGAT approval processes. - Ensure that all required documents are properly formatted and filed. - Update internal trackers with submission and approval status. - Support follow-up actions by collecting and organizing additional documents requested. - Maintain an up-to-date and accessible database of all requests and approvals. C. General Administrative Support - Provide day-to-day administrative support to the OSL team, particularly in document management. - Organize, archive, and maintain records in line with WHO standards (electronic and hard copy where applicable). - Assist colleagues in locating documents and ensuring proper version control. - Support the use and updating of internal tools such as trackers, checklists, and templates. - Draft simple correspondence, emails, and standard communication templates. - Perform other related administrative tasks as required.

Skills and experience
administrative or clerical experience, preferably in an international organization or humanitarian context. - Experience in document handling, filing systems, and data entry. - Good working knowledge of MS Office applications (Word, Excel, Outlook). - Experience with databases or tracking tools is an advantage. - Good written and spoken English and Arabic

Additional Information

Living conditions and remarks
The contract lasts for the period indicated above with possibility of extensions subject to availability of funding, operational necessity and satisfactory performance. However, there is no expectation of renewal of the assignment. The applicable Volunteer Living Allowance in amount of ILS 6730.16 is provided monthly to cover housing, utilities and normal cost of living expenses. Life, health and permanent disability insurance are included (health insurance for up to 3 dependents - except for UN Community Volunteers), as well as final repatriation (if applicable).
