Context
The Global Disability Fund (GDF) is seeking an Online Volunteer to support the design and implementation of a structured, efficient, and user-friendly digital filing system using SharePoint, alongside development of procurement tracking and budget monitoring tools.
The assignment aims to transform the current fragmented filing environment into a well-organized, standardized, and auditable system, supported by clear guidelines and practical tools for staff.
Task Description
The Online Volunteer will support GDF in establishing a coherent, structured, and fully operational SharePoint-based document management environment, transforming the current fragmented filing system into a standardized, user-friendly, and audit-compliant solution.
This assignment focuses on the end-to-end development and operationalization of a single integrated system, covering its design, structuring, population, and practical use by GDF teams.
To achieve this, the Online Volunteer will review the current filing environment and progressively build a consistent and functional SharePoint structure, ensuring that documents are logically organized, properly classified, and easily retrievable. This includes defining and applying standardized taxonomy, naming conventions, and metadata requirements, and ensuring that existing files are cleaned, structured, and aligned with the new system.
As part of the same assignment, the Online Volunteer will ensure that the system is practically usable and supports day-to-day operations, by embedding structured tracking approaches for key operational areas such as procurement and budget monitoring, and by providing clear guidance on how the system should be used and maintained.
The assignment also includes the development of simple, practical guidance materials and user support, ensuring that GDF personnel can consistently apply the new structure and that the system remains sustainable beyond the duration of the assignment.
Overall, the Online Volunteer will deliver a single, integrated SharePoint-based solution that combines structured filing, basic operational tracking, and user guidance into one coherent and functional system.
Expected Outputs
A fully structured, populated, and operational SharePoint-based document management system, enabling consistent filing, document retrieval, and basic operational tracking across GDF.
The system will include:
- A clear and standardized folder structure aligned with GDF functions
- Applied taxonomy, naming conventions, and metadata requirements ensuring consistency and searchability
- A cleaned and organized document repository, with existing files structured and aligned to the new system
- Embedded or linked practical tracking components supporting procurement monitoring and consolidated budget oversight
- User-oriented guidance materials (guidelines and SOPs) enabling consistent use and maintenance of the system
- Basic training and knowledge transfer to ensure adoption by GDF personnel

Skills and experience
- Proven experience designing and implementing SharePoint document management systems (libraries, metadata, permissions, structure)
- Strong expertise in digital filing systems, including taxonomy, naming conventions, and document classification
- Advanced proficiency in Microsoft Excel (complex formulas, data structuring, tracking tools)
- Experience developing dashboards and data visualization tools (Power BI or equivalent strongly preferred)
- Demonstrated experience in process improvement or digital transformation initiatives
- Solid understanding of records management, version control, and audit-ready systems
- Strong analytical skills with the ability to translate complex workflows into simple, structured solutions
- Excellent attention to detail and ability to ensure data accuracy and consistency
- Ability to produce clear SOPs, guidelines, and user-friendly documentation
- Strong communication skills and ability to train and support users remotely
