Mission and objectives

Context of Assignment: UNAIDS, the Joint United Nations Programme on HIV and AIDS, is a leading advocate for global action on the HIV/AIDS pandemic. UNAIDS is committed to using digital tools to strengthen organizational effectiveness and better support the global HIV response. As part of its ongoing digital transformation efforts, UNAIDS relies heavily on Microsoft Office 365 and Microsoft Teams as its core productivity and collaboration platforms. Microsoft continually introduces new and enhanced features across these platforms that can significantly improve how staff collaborate, manage information, and work more efficiently in a hybrid and global environment. The Digital & Technology Solutions (DTS) team is seeking an Online UN Volunteer to support short term engagement, promotion, and awareness activities focused on new and lesser known Microsoft Office 365 and Microsoft Teams features. This assignment is fully remote and designed as a focused, time bound engagement to help staff discover and adopt practical features that enhance day to day productivity.

Context

Purpose of the Assignment The purpose of this assignment is to support UNAIDS in highlighting, curating, and promoting useful Microsoft Office 365 and Microsoft Teams features, ideally sharing one curated practical features per every week over a twelve week period, to help staff work more effectively and confidently with the tools they already use. Expected Outputs By the end of the twelve week assignment, the volunteer is expected to have contributed to: - Increased awareness of useful Microsoft Office 365 and Microsoft Teams features within UNAIDS. - A curated set of approximately twelve productivity enhancing features (one per week) shared with staff. - Short, reusable knowledge materials that explain how selected features can improve daily work. - Inputs or suggestions that help inform future digital literacy or productivity initiatives.

Task description

Under the supervision of the Digital & Technology Solutions (DTS) team, the Online Volunteer will support the following activities: - Identify and curate recent or under utilized productivity features within Microsoft Office 365 and Microsoft Teams that are relevant to everyday staff work. - Support internal awareness and promotion of these features among UNAIDS staff. - Prepare short, user friendly explanations of selected features, focusing on practical benefits rather than technical detail. - Assist in developing lightweight content such as: o “Feature of the week” summaries. o Short tips or “did you know?” messages. o Simple visuals, examples, or quick guidance. - Support engagement activities such as: o Short posts or messages for internal collaboration platforms such as Microsoft Teams channel, or Microsoft Viva Engage. o Contributions to existing digital literacy or productivity resources. - Collect informal feedback from staff on which features are most useful or where further guidance is needed. - Perform other related tasks as agreed, aligned with Microsoft 365 and Teams adoption objectives.

Skills and experience

Required Competencies - Strong interest in digital productivity tools and modern ways of working. - Practical familiarity with Microsoft Office 365 tools such as Word, Excel and PowerPoint, and Microsoft Teams. - Ability to explain features and benefits clearly to non technical users. - Strong written communication skills. - Ability to work independently in a remote, multicultural environment. - User oriented and practical mindset. Qualifications and Experience - Background or studies in information technology, communications, digital transformation, knowledge management, or a related field is desirable. - Experience supporting user adoption, communications, training, or digital engagement is an advantage. - Ability to quickly understand UNAIDS context and use of Microsoft tools in day-to-day work, and thereby curate a list of the most relevant and impact features - Prior experience with the UN system is an asset but not required.
