Mission and Objectives

Established in 1951, IOM is a Related Organization of the United Nations, and as the leading UN agency in the field of migration, works closely with governmental, inter‑governmental and non‑governmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments and migrants.

Context

Within IOM’s Supply Chain function, Fleet and Asset Management provides global guidance and technical support to Missions worldwide to ensure effective, compliant, and cost efficient fleet operations. The current assignment supports the implementation of the Fleet Management System provided by TerraMar, with a specific focus on the upcoming installation and changeover to a new Transport Booking Module. The assignment will support Missions in transitioning from manual fleet management processes to system based transport booking and fleet utilization.

Task Description

The Online Volunteer will support the Supply Chain Fleet and Asset Management function in training, coordination, and consultation activities related to the Fleet Management System and Transport Booking Module. Specific tasks include: - Delivering structured training to Mission Fleet Focal Points on the new Transport Booking Module in preparation for the transition from the current system, following a minimum of three (3) weeks of training activities. - Conducting training sessions in English and French to ensure consistent understanding and correct utilization of the Transport Booking Module. - Identifying, documenting, and consolidating system errors, failures, and limitations detected during training and testing phases, and preparing summary feedback for the system provider. - Facilitating discussions with Missions on the transition from manual fleet management processes to system based fleet management, with a focus on transport booking utilization. - Collecting operational requirements and structured feedback from Missions to support decisions on the use or non use of the Fleet Management System. - Leading discussions with individual Missions on vehicle or seat sharing arrangements with other organizations operating in the same areas, promoting the utilization of existing Memoranda of Understanding (MoUs) and supporting the adjustment of cost calculation models to local needs. - Engaging with other organizations and relevant associations to gather information on interest and feasibility of transport and fleet sharing initiatives. - Performing other related duties as assigned, arising from the trainings and discussions.

Skills and experience
­ In‑depth knowledge of TerraMar fleet management systems, including transport booking functionality. ­ Demonstrated experience in fleet management digitalization and transition from manual to system‑based processes. ­ Strong understanding of cost‑saving and vehicle‑sharing models between organizations. ­ Experience delivering remote technical training and facilitating structured discussions with field‑based stakeholders.
